An Exchange Server is providing email and calendaring services to domain users. In principle there are two ways for users to access their mails, calendars, contacts, etc.

The Web Interface

Access the Exchange Server via any browser web interface. In order to login type your email address into username and then provide your (domain) password. After successful login a nice interface is provided to organize yourself or check the latest mails.

Using an e-Mail Client on your Computer, Tabler or Phone

Another way users can access their emails is by using an email client on your computer, tablet or phone. Depending on your email client (e.g. outlook, thunderbird, etc.) you need to choose upon three options on how you want to connect to the server. The three options are described in more detail below.

OUTLOOK and EXCHANGE

If you are using Outlook as your email client you can establish a connection very easily by simply providing your email address and password.

  • start Outlook and select Datei/File in the upper left corner, then press Einstellungen/Settings
  • next go to Kontoinformationen/Account Information and select Konto hinzufügen/Add Account
  • then select Exchange Konto/Account
  • provide your email address, username and your password and press Konto hinzufügen

A service called Autodiscover will do all the configuration and a connction should be established within seconds, sometimes minutes - so be patient during initil setup. If the client (not expected) responds something like "provide additional information" please provide the following information:

  • exchange server name: exchange.hochstaffl.eu
  • domain/username: hochstaffl\username

POP

If you are not using Outlook but using Thunderbird or another email client instead you can either install a "Exchange" plugin on that email client which would then allow you to use the connection described above or you setup a POP connection. This step is described subsequently.

  • start Thunderbird or the email client you are using
  • select Konto hinzufügen/Add Account
  • fill in your email address
  • provide your username and password
  • Eingangsserver: pop.hochstaffl.eu and select SSL verwenden/Use SSL
    • check the Eingangsserver port to be set to 995

The connction should be established within seconds, sometimes minutes - so be patient during first setup. If the Ausgangsserver fails to send emails due to an authentication error provide your username and password in the advanced settings pane next to the Ausgangsserver settings.

IMAP

A more sophisticated protocol than POP is IMAP so if you have the choice between both I definitely recommend IMAP. The steps to establish a connection via IMAP are very similar to the ones described above and they are described subsequently.

  • start Thunderbird or the email client you are using
  • select Konto hinzufügen/Add Account
  • fill in your email address
  • provide your username and password
  • Eingangsserver: imap.hochstaffl.eu and select SSL verwenden/Use SSL
    • check the Eingangsserver port to be set to 993

SMTP

In the SMTP section of your client email program you need to specify the following settings. SMTP is used to send emails, while IMAP or POP is to receive mails! In order to submit emails via smtp you need to connect on port 587. The connection can be established encrypted (STARTTLS, optional but recommended) or unencrypted.

  • Ausgangsserver: smtp.hochstaffl.eu
  • check the Ausgangsserver port to be set to 587
  • select "use Eingangsserver credentials" for authentication
  • select "STARTTLS" or "use SSL" if available

NOTICE: To establish an encrypted connection (using STARTTLS/SSL) your client computer needs to to trust the certificate that is offered by smtp.hochstaffl.eu! Therefore, please download the certificates from here and import them on your computer or mobile device.
